Chair Policy Procedures 12/14/2014

Purpose

The chair of the Triangle OA Intergroup is a board member and the responsibilities are defined in the bylaws. Responsibilities for All Board Members and in Chair Responsibilities. The chair is responsible for setting the agenda for, and presiding over, all IG meetings and serves as the World Service Conference and SOAR representative. The chair is the voice of Triangle OA Intergroup to World Service and SOAR and sends in forms identifying the SOAR representative and World Service Business Conference Delegates for the year. Send the WSBC Delegate Registration form in immediately after the December elections. It is usually due by the end of the year for the upcoming conference.

The chair has a key to the meeting place and is responsible for ensuring the meeting facility is open. The chair also works with the secretary to send in an updated Intergroup Registration Form.

Budget

The chair position is entitled to attend the SOAR and World Service Business Conference and could have travel expenses relate to these conferences. Historically these expenses have been tracked by the conference. See the Reimbursement Policy for more information.

The chair fills the Delegate Registration form out immediately after the December elections and sends it to the OA World Service Office.
Certificate of Eligibility page 58
The chair fills out a certificate of eligibility for the people that will represent the Triangle OA Intergroup at the SOAR assemblies. It needs to be at SOAR before the first assembly in March. This is done at least once a year, immediately after the Intergroup elections and when there are changes. The certificate is on page 58 of the SOAR policy and procedure manual.

Recommendations

In addition to informing WSO and SOAR of the Triangle Intergroup representatives, the chair creates an agenda for the monthly Intergroup meeting and distributes it via email to the Intergroup mailing list at intergroup@triangleoa.org at least two days before the Intergroup meeting. It is a good practice to ask the Intergroup for topics at least 4 days before finalizing the agenda. Agendas can be printed and distributed at the meeting or displayed on a screen. Historically chairs have printed 10 to 20 copies of the agenda. This could be a reimbursable expense. The chair has a brief case with a meeting book with the 12 steps, concepts, and sign in sheets and a key to the church.

During the meeting, the chair determines what is most important for the Intergroup to discuss and may change the agenda based on group need. Consider establishing a time limit for a topic or limit discussion and assigning a spiritual time keeper. Remember we are on spiritual time not business time during the meeting. The chair has a brief case with a meeting book with the 12 steps, concepts, and sign in sheets.

During the Meeting. It is very important for future communications that new Intergroup representatives are identified during the meeting, that the secretary gets their contact information so the vice chair can contact them after the meeting and introduce them to available resources and ensure their contact information is added to the communication channels. It is also important to ensure new representatives understand the procedure for picking up newsletters and providing the news liaison with the information on the number of newsletters taken and an contact information and an address for mailing newsletters in the future. The "We Care" Book needs to be passed around and used by the secretary to keep information current.

Call the meeting to order and follow the agenda. Pass around the “We Care Book” so people can sign in. The chair introduces the topic and asks for feedback (questions/comments) from the floor. People that wish to be recognize raise their hand and the chair chooses which person talks. When the discussion seems to be done. Anyone can make a motion. Motions need to be seconded. The chair asks for discussion and when discussion has ended asks for a vote. The chair doesn't vote on issues unless there is a tie. Motions can be amended.
